Designing and delivering a clear, audience-appropriate talk: signal-to-noise, slide design, delivery, timing, practice, and Q&A.

Every talk is for a specific audience (undergraduates, graduate students, hiring managers, the general public), so ask who they are before you design anything, and adjust your depth and framing to them. No one presents perfectly, and reasonable people disagree (strongly) about how to do it. Keep attending talks on presenting, keep asking for feedback no matter how senior you get, and keep what works for you. And one purely practical tip from teaching: ensure whoever controls the money/grades is happy.

Plan the message

Answer the two questions early

Answer so what? and who cares? as early and as simply as you can. People remember only a few points; the Rule of Three is a good default, but don’t invent a third point just to round things out. Simpler is always better.

Don’t present your research like a detective novel. The audience should know why they should care almost immediately, or you lose their attention.

Cut the noise

Most weak talks aren’t missing signal; they’re drowning in noise:

  • Information overload: too many bullets, too many words per bullet, fonts too small, too much on one slide, too complicated.
  • Images or clip art that don’t directly support the point.
  • Distracting or inconsistent color schemes (loud school colors included).

Every design choice should raise the signal-to-noise ratio.

Build the deck

A scientific talk usually moves through a title slide, introduction/background, a roadmap, methods, results, conclusions, future directions, and acknowledgments. The body (introduction through future directions) is most of the talk.

Title slide

  • One simple, appealing image or graphic; a logo is fine here (see Logos & branding).
  • A direct, specific title. Don’t be vague.
  • Always include every author and their affiliations.
  • Leave it up while people settle in, but try not to talk to it. If you need to introduce yourself, make a separate slide.

Roadmap

Always include one, and return to it so people can find themselves in the talk; it’s also a natural place to restate your key points. Make it graphical; a plain bulleted outline makes people tune out.

Repeat your key points

Repetition is a feature, not a bug. Say your key question or takeaway at the start (tell them what you’ll tell them), again as you reach the matching result, once more at the end of the results, and finally in the conclusion in a broader context.

Consider an executive summary

For some talks, design reviews especially, it helps to “spoil” the surprise up front: state your headline results, conclusions, and recommendations, then spend the body earning each one, and repeat them in the conclusion. Check the assignment or venue to see if it’s expected.

Body slides

  • Make the slide title a declarative sentence that states the slide’s takeaway; it rescues anyone who zoned out.
  • Use plain backgrounds (white is safest); never put text over a photo.
  • Keep text to short bullets or fragments, and keep each one short. People read ahead and stop listening.
  • Build up bullets as you speak to them, using only “appear” or “fade” transitions, nothing flashy.
  • Number your slides, and make sure every word is legible.
  • A dramatic transition slide (big font, contrasting color) between sections can help.

Figures and data are your strongest tool

  • A good figure does most of your argument’s work. Build up any information-dense graphic piece by piece as you talk through it.
  • Always use vector graphics. On a Mac, Keynote can insert .pdf files directly; in PowerPoint, insert vector graphics as .svg. A high-quality .png is an okay fallback if you check for pixelation. Always export the whole deck to PDF as a backup.
  • Say out loud what every axis and key means; if the audience has to read it, they aren’t listening to you.
  • Avoid tables where you can; emphasize the one line that matters if you can’t.
  • Run the two integrity checks from Figures: keep the lie factor near 1, and push the data-to-ink ratio toward 1. A projector magnifies both problems.
  • Use color consistently and intentionally, and check it against color blindness, which is common. An accessible-palette generator helps.

Cite everything you didn’t make

Always credit any data, image, or idea that isn’t yours. The exact format depends on the venue; on the slide itself or a list at the end both work.

End well

  • Finish on a conclusions slide that shows something meaningful, and restate your takeaways.
  • Acknowledge the people who did the work: put their names and photos on the slide where their contribution appears, and name them out loud. Acknowledge your funding sources too (check the wording with Christina).
  • Say “thank you.” It signals you’re done, avoids an awkward pause, and invites applause, which gives questioners a moment to gather their thoughts. You don’t need a “Questions?” slide.

Never run past your scheduled slot. Plan your talk shorter than the limit to leave room for questions:

You communicate just by being there

  • Dress a notch more formally than you think you need; overdressed beats underdressed. Be you, though. This is never license for anyone to comment on your appearance, style, or religious dress.
  • Look comfortable and happy; it relaxes the room.
  • Make eye contact, and use your hands and body to steer the audience’s eyes to the right spot on the screen. Channel nervous energy into emphasis instead of fighting it. Laser pointers are usually shaky and distracting; skip them.

Presenting virtually

Look into the camera, put it at eye level (so you’re not looking down at people), and stick something that makes you smile beside it. Use a plain, well-lit background; skip virtual backgrounds unless you have a green screen. A hung sheet and an extra lamp go a long way.

Practice, a lot

You can’t over-practice, but you can over-memorize until it sounds robotic. Memorize just your first slide or two to get past the nerves, then practice until it feels fluid (5+ run-throughs). Always do at least one practice talk for peers or family (lab meeting is a natural venue), and know it well enough to give it even if the projector dies.

Prepare for questions

Try to stump yourself beforehand: have friends (or your own worst-case brain) throw the hardest and the most obvious questions at you, and prepare answers or backup slides. In a group, agree in advance on who takes which topics.

How you know it worked

After any real talk, debrief with three checks (also from Jean-Luc Dumont):

  1. Did the audience pay attention?
  2. Did the audience understand?
  3. Can the audience act on what you gave them?

Ask a colleague who was in the room, and bring the answers to your next 1:1; they tell you exactly what to adjust before the next talk. (On asking for and taking critique, see giving and receiving feedback.)

Presenting is subjective, and a genuinely fun place to show your personality. All that really matters is that the audience leaves knowing the answers to so what? and who cares? Maximize the signal-to-noise ratio and the rest follows. And when you attend other people’s talks, keep notes of what they did that was cool or effective.
